The problem

Supplier onboarding is where data quality, fraud risk, and process fragmentation collide.

Most organisations manage supplier onboarding through a combination of email, PDF forms, ERP data entry, and disconnected approval processes. The result is fragmented data, inconsistent controls, and limited visibility, for AP, procurement, and compliance teams simultaneously.

  • Fragmented processes
Supplier creation spans multiple systems with no single workflow connecting them. Users move between ERP, email, and spreadsheets, creating handoff gaps, delays, and lost information.
  • Data quality failures
Onboarding is the primary entry point for supplier data into ERP and P2P systems. Without structured capture and validation, records are created with missing or incorrect information that propagates into invoice matching, payments, and reporting.
  • Fraud and financial crime risk
Over half of organisations feel more vulnerable to payment fraud during onboarding, and 65% when a supplier requests bank or credential changes. Without structured verification at these points, bank account fraud and vendor impersonation represent significant, unmanaged exposures.
  • Inadequate due diligence
Suppliers must be assessed across sanctions, cyber security, modern slavery, and financial stability, at onboarding and at key change events. These checks are often performed manually, inconsistently, and outside the onboarding workflow, creating audit gaps.
  • No approval control
Procurement and functional owners need to govern which suppliers are introduced. Without structured request and approval workflows, new supplier creation bypasses these controls, creating unmanaged vendor proliferation.
  • No operational visiblity
AP teams have no consolidated view of onboarding status, outstanding actions, SLA compliance, or change request progress. Reporting is reactive and manual, making it difficult to identify bottlenecks or demonstrate process compliance to auditors.

Centralise onboarding and change requests in one workspace
01
Centralise onboarding and change requests in one workspace

The Connect Workspace is the operational hub for every supplier onboarding and change request, replacing email coordination, spreadsheet tracking, and ERP triage with a single queue.

  • Single queue combining new onboarding requests and supplier change requests across all records
  • Dashboard summary of active onboardings, submissions awaiting action, overdue items, bank changes pending approval, and recent activations
  • SLA flagging with overdue items surfaced automatically and routed for escalation
  • Defined lifecycle status from Initiated through to Active and Ready to Pay
  • Filters across status, request type, value tier, approval routing, contract status, assigned reviewer, and SLA flag

One queue, every supplier request, full operational visibility.

02
Govern every supplier change with structured workflows
02
Govern every supplier change with structured workflows

All updates to existing supplier records are managed through controlled change request workflows. Records cannot be overwritten directly, every change is submitted, reviewed, and approved.

  • Change types: contact details, address, tax and registration information, payment terms, bank account details
  • Confirmation of Payee (CoP) bank verification triggered automatically at submission
  • Approval segregation enforced, the initiator cannot be the approver
  • Configurable activation delay on approved bank changes for added control
  • Immutable audit trail across every action, decision, and timestamp

Bank changes, the highest-risk moment in supplier management, handled as a controlled workflow.

Embed risk-tiered due diligence
03
Embed risk-tiered due diligence

Validation and due diligence are embedded into the workflow, triggered at onboarding and when changes are submitted. Different supplier types, geographies, and spend levels receive proportionate scrutiny.

  • Validation providers via the Spend Intelligence Network: CoP, ABN/GST, credit assessment, sanctions and PEP screening
  • Cyber security questionnaires covering ISO 27001 / SOC 2, incident response, and data residency
  • Modern slavery and ESG declarations across labour, emissions, diversity, and supply chain
  • Insurance, financial capacity, and beneficial ownership disclosure templates
  • Dynamic question logic, sections assigned by supplier profile, jurisdiction, and category

High-risk relationships get scrutiny. Low-risk relationships move through fast.

FAQs

What is SpendConnect?

SpendConnect is SpendConsole’s supplier onboarding and master data management module. It provides a structured, workflow-driven approach to onboarding new suppliers and managing changes to existing supplier records, replacing fragmented email, ERP, and PDF-based processes with a single governed platform.

How does SpendConnect prevent payment fraud?

SpendConnect embeds bank account verification via CoP providers at both new supplier onboarding and bank change submission. It enforces approval segregation, the person who initiates a bank change cannot approve it, and applies a configurable 24-hour activation delay after approval. These controls activate at the two highest-risk points in the supplier lifecycle.

What is the difference between SpendConnect and SpendSecure?

SpendConnect governs supplier data capture, onboarding workflow, and master data change control with point-in-time validation triggered at workflow events. SpendSecure provides continuous monitoring across the active supplier base, transaction flows, and payment risk signals. SpendConnect is the entry point; SpendSecure is the ongoing intelligence layer.

Does SpendConnect require suppliers to register on a network?

No. SpendConnect uses a customer-branded supplier portal accessed via a unique, time-limited link, no account registration required. Suppliers can save progress and return using the same link.

What validation checks are included?

Validation runs via the Spend Intelligence Network, configurable by jurisdiction. In ANZ this includes CoP bank verification, ABN/GST validation, and NZBN validation. In MENAP this includes commercial registration, trade licence verification, and VAT validation across GCC member states. Sanctions and PEP screening is available for high-risk categories across all regions, and credit bureau integration is configurable.

Does SpendConnect integrate with our ERP?

Yes. On activation or approved change, validated supplier data is synchronised directly to your ERP. SpendConnect supports SAP, Oracle, Microsoft Dynamics, NetSuite, Workday, and other major ERPs. Organisations operating multiple ERPs manage onboarding centrally through a single SpendConnect process.

Can we configure SpendConnect for our approval requirements?

Yes. Approval routing is configurable by supplier value, category, or other attributes. Paths can be sequential or parallel, and stakeholders including procurement, finance, legal, property, IT, and HR can be added where required. Initiators cannot approve their own requests, and all decisions are recorded in an immutable audit trail.

How does SpendConnect handle the supplier experience?

The portal presents onboarding as a guided wizard, logical sequence, visible progress, dynamic question logic that hides irrelevant sections, real-time validation, and save-and-return capability. Suppliers see status throughout and are notified when AP requests additional information. The portal carries the customer’s branding.
